How working with us works.

Everything you should know before you buy, and everything that happens after: what you get, what we need from you, how approvals work, when we answer, and how billing and cancelling work. In plain English.

Version 2026-09-27. This guide works together with our Terms and your written scope. If they ever disagree, your written scope wins, then the Terms.

How buying works

No sales call needed. You can go from "tell me more" to a locked start date in about ten minutes.

  1. Get your proposal. Fill in the short form on our site (or ask our sales line). You land in your private client portal right away. Your portal link works like a key, so keep it private.
  2. Read your written scope. It lists exactly what we build, what's not included, the price, the payment schedule and the timeline. You can download a copy. Questions? Ask in the portal before you pay.
  3. Approve and pay the deposit. You tick a box confirming you've read this guide and the Terms, then pay half the launch fee on a secure Stripe page. Your card statement shows FRONTBAY (some banks add our company name). Frontbay is a service of Gerdly.ai. We never see your card number.
  4. Your start date is locked. We start only 2 new shops a week, so every build gets full attention. Your portal shows your 14-day timeline with real dates.
  5. Send your shop details. A form in your portal asks for everything in the checklist below. It takes about 20 minutes.

Frontbay Line Site + Line planAn AI receptionist on your number. It greets callers in your shop's name, says it is an AI and that the call is recorded and transcribed, collects the job details, tells callers the shop will follow up, and emails you a summary that's also saved in your portal (text alerts are coming soon). It can offer your open drop-off times when you turn on booking, but it doesn't take payments or transfer live calls, and it's English only for now. Up to 500 call minutes a month.
Booking requests turn on anytimeCustomers pick one of your open drop-off times on your site (and on the phone line with the Site + Line plan). The time is held, not promised: you confirm or decline with one tap, and the customer is told by email if they gave one (and by text once business texting is switched on). Confirmed jobs show up in your Google or Apple calendar. You set the days, times, cars per time and closed dates.
Your phone scriptWritten for your shop, tested on your own test line, and approved by you before launch.

Custom builds

Want a one-of-a-kind design instead of a template? Custom builds start at $5,000 (then $349/mo, Frontbay Line included) and take 3 to 4 weeks. We take 2 a month. Every custom scope includes:

  • A discovery call, then two design directions to choose from (if neither fits, one more; after that, changes are quoted)
  • Up to 5 pages, with copy written by us and approved by you
  • One interactive feature, such as a PPF coverage map, tint shade visualizer or color picker (see an example)
  • 3 revision rounds, then the same monthly care as every plan

Not included: photography (we can recommend a local photographer), logo design, more than 5 pages, online booking or payments. More pages, a second interactive feature or extra integrations raise the price, and you see that in writing first. Your deposit is refundable until you approve a design direction (usually week 1).

Not included (we can quote these separately)

  • Paid ads, social media management or SEO campaigns
  • Extra pages beyond your service page (unless you order a custom build), online stores, taking payments or deposits online, syncing with booking software you already use (such as Tint Wiz)
  • Logo or brand design
  • Connections to other software beyond one simple hand-off to a tool you already use
  • Outbound calling. The line only answers calls; it never cold-calls or texts people who didn't contact you.

Over your plan’s call minutes in a month (500, or 300 on the Line plan)? Extra minutes are $0.25 each. Minutes count from pickup to hang-up; calls under 10 seconds and blocked spam don't count. We check usage every month and tell you before you're ever billed for extra.

What we need from you

Send these in your portal by day 2. Missing items pause the clock, and your dates move by the same number of days. Nothing else changes.

Your Frontbay account has its own password, plus an email code whenever you sign in on a new device. Nobody at Frontbay can see it, and we will never ask for it. We never ask for your other passwords either. Not for your email, phone carrier, bank, domain or Google. Where we need access to something (your web address or Google profile), you invite us with that company's own "add a user" or "delegate access" button, and you can remove us any time. You set up call forwarding yourself in about a minute with a code we give you.

Photo guidelines

  • Your own work only. Don't send photos from film brands, other shops or the internet unless you have permission in writing.
  • Sharp, well lit, landscape (sideways) photos look best. Clean backgrounds beat busy ones.
  • Blur or crop license plates, and don't show customers' faces unless they agreed.
  • No good photos yet? We launch with a clean design and add yours when you have them. The clock never pauses for photos.

Content rules

  • Everything on your site and in your script must be true and yours to say: prices, warranties, certifications, awards.
  • No claims about tint darkness being legal in a state; the line sends those questions to you.
  • No competitor names, and no "#1" or "best in town" claims you can't back up.

Previews, revisions and approvals

Day 5 · First previewYou get a private link to your site and a test phone number to call. Happy with the line? Tap “Turn on my line” in your portal and it starts answering real calls this week, free until launch day, while we finish your site. Before we send it, it passes our first quality checks: the call greeting, only your approved prices, and phone-size layouts.
Day 8 · Revision round 1Send one list of changes in your portal within 2 days. We make them all.
Day 11 · Revision round 2Second list of changes. We also run test calls with you: a normal quote, a price haggler, an upset caller and "stop contacting me".
Day 14 · Your approvalBefore we ask you to accept, all 12 of our quality checks pass: every link works, a test quote reaches you within 2 minutes, speed and legal wording are in place. You approve the words, prices and photos in writing.

What counts as a revision

Changing words, photos, prices, colors, the order of sections, or what the line says and asks. A new page, a new feature or a new integration is new work, and we'll quote it before doing anything.

If we're waiting on you

All days are calendar days counted from your locked start date, and your review time is built in. If we need something from you for more than 2 days, the project pauses and your dates move by the same amount. If a project stays paused for more than 30 days before your first preview, we close it and refund your deposit minus $250 for setup. After your first preview, the deposit covers work already done. We always remind you first.

Launch day

  1. You accept the finished work in your portal and pay the second half.
  2. We go live. Your site moves to your web address (or a Frontbay address until yours is ready).
  3. You turn on call forwarding. Simple steps for every carrier are on our launch help page. You choose: only missed calls, only after hours, or every call.
  4. One real test call together to confirm the summary lands in your inbox.
  5. Your monthly plan starts. Your final payment includes the first month, and it renews on the same date each month.
Your safety switch: if anything ever goes wrong with the line, turn off call forwarding in your carrier's app or settings and calls ring your own phone again. That takes about a minute, and we'll show you how on launch day.

After launch: support

Something is down (site, line, requests not arriving)Within 4 business hours. Evenings and weekends, urgent alerts go to Jason's phone and we respond as soon as we can. You can always dial your carrier's turn-off code to send calls straight to you.
A change (new price, new film, new hours, script tweak)Our assistant answers right away. Jason replies within 1 business day and most changes are live within 2.
Billing questions1 business day. Update your card and download receipts yourself any time with "Manage billing".

If the line ever says something wrong

Report it in your portal with the time of the call. We review the call summary, fix the script within 1 business day, test it, and tell you what changed. Every call summary is in your portal.

Minor edits, included

Text and photo swaps, price and hours updates, script tweaks, and new FAQs: up to about 1 hour of work a month while your plan is active. Bigger changes are quoted first.

Business hours are Monday to Friday, 9 to 6 Eastern. Call recordings and summaries are kept for 90 days unless you ask us to keep them longer.

Billing, refunds and cancelling

DepositHalf the launch fee, when you approve your scope. Fully refundable until we deliver your first preview.
Call guaranteeSite + Frontbay Line plan and Line plan: if your line answers fewer than 20 calls in its first 60 days live, we refund your launch fee. Keep call forwarding on as we set it up, and ask in your portal within 14 days after day 60.
BalanceThe other half, only when you accept the finished work.
If we're lateIf we miss your launch date by more than 7 days for reasons within our control, you can cancel and get your full deposit back.
Monthly planStarts at launch (your final payment includes the first month) and bills monthly by card. 3-month minimum, then cancel anytime with 30 days' notice using "Request cancellation" in your portal. Examples: cancel in month 2 and your plan ends after month 3. Cancel on the first day of month 5 and you pay month 5, then it ends 30 days later. No partial months. Prices exclude any sales tax that applies, and we give 30 days' notice before any price change.
Failed paymentStripe retries automatically and we'll let you know. If a payment is still unpaid after 14 days, we may pause the line and site until it's fixed. Before any pause we contact you so you can turn off call forwarding, and no call is ever lost silently.
Refunds on monthly feesMonths already started aren't refunded, and there are no partial-month charges when you leave.

Your part

  • Keep your prices, hours and services current. Tell us in the portal when something changes.
  • Reply to the requests the line and site send you. We answer the phone; you still win the job.
  • You set every final price and decision. The line is a front desk, not a salesperson.
  • Keep the call greeting as it is. It tells callers they're talking to your AI assistant and that the call is recorded and transcribed, which recording and AI-disclosure laws in many states require.
  • Texts go only to customers who asked for them, about their own request. No marketing blasts.
  • Don't ask the line to call or text people who haven't contacted you. That's against the law in the US and not something we offer.

Ownership and leaving

  • Once paid in full, your content, photos and web address are yours.
  • Frontbay keeps its software and templates, which you use while your plan is active.
  • If you leave, we send you your website files and photos, with a permanent license to keep using them for your own business. Your portal stays readable and your site's quote form keeps delivering requests for 90 days, so you have time to switch.
  • Your phone number was always yours: turn off call forwarding and you're done.
  • Your leads, call summaries and transcripts are yours. We keep them 90 days and export them on request.
  • If Frontbay ever shuts down, you get at least 30 days' notice and your files.
